Job Summary:
Administrative Assistant is a critical job, it supports the daily operations of our training organization. The ideal candidate will provide administrative and clerical support to ensure the smooth delivery of training programs, maintain accurate records, manage scheduling and communication, and assist both staff and participants in a professional and courteous manner.
Key Responsibilities:
• Provide administrative support to the training team and instructors.
• Coordinate logistics for training sessions, including scheduling, venue setup, materials preparation, and attendance tracking.
• Maintain databases of learners, course registrations, feedback forms, and certification records.
• Respond to phone, email, and in-person inquiries from clients, students, and partners in a timely and professional manner.
• Prepare reports, memos, meeting minutes, and presentation materials as needed.
• Monitor and maintain office supplies, training materials, and equipment inventory.
• Assist in the onboarding of new instructors and trainers (e.g., contracts, schedules, orientation).
• Update course calendars, internal systems, and websites with training schedules and announcements.
• Support the coordination of marketing and communication efforts for training programs.
• Handle filing, photocopying, scanning, and other clerical tasks as required.
Qualifications:
• Bachelor's degree in Business Administration or a related field preferred.
• Proven capabilities as an administrative assistant.
• Strong organizational and time-management skills with attention to detail.
• Excellent written and verbal communication skills.
• Ability to work under pressure.
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
• Ability to handle confidential information with discretion.
• Customer-service orientation and a collaborative mindset.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Preferred Skills (Optional):
• Familiarity with e-marketing, and social media.
• Basic knowledge of HR or adult learning principles.
• Experience with tools like Zoom, Google Workspace, or Microsoft Teams.
